Tracking Accounting Transfers

Fact allows sending documents and payments to accounting, either automatically or manually. Once transfers are initiated, it is essential to track their status, in order to identify pending items, detect potential errors, or confirm successful transfers.

This article outlines the available tools in Fact to monitor the status of accounting transfers, either from the document and payment tables, or during a manual transfer.

Viewing transfer status in tables

A dedicated column called “Accounting transfer status” is displayed in the documents and payments tables. It allows tracking, for each line, whether the item has been successfully transferred to accounting.

Where is this information displayed?

  • In the Documents section (tabs: Invoices, Deposit Invoices, Credit Notes)
    → The column is displayed when accounting is activated on the file.

  • In the Payments section (tab: Payments)
    → The column is displayed if the "Transfer payments to accounting" setting is enabled.

Possible statuses

Status

Meaning

To transfer

The item has not yet been sent to accounting.

In progress

The transfer is currently being processed.

Transferred

The item has been successfully transferred.

Error

The transfer failed. The item can be retransmitted manually.If automatic transfer is configured, a new attempt will be made periodically.

A “Accounting transfer status” filter is available in the relevant sections, whenever the column is visible. It allows filtering items by their current status: to transfer, in progress, transferred, or error.

Tracking manual transfer results

When performing a manual transfer from Fact to accounting, a detailed report is shown at the end of the operation. This report helps identify:

  • items successfully transferred,

  • items that failed, along with the reason for the failure.

This step ensures that all necessary data has been accounted for, and provides a clear view of any issues that need to be addressed.
